What Personal Data Does the Organisation Collect

The Camping and Caravanning Club (The Club) collects and processes Personal Data relating to job applicants. The Club is committed to being transparent about how it collects and uses Personal Data and to meet our data protection obligations.

 

Categories of Personal Data

The following categories of Personal Data are processed by The Club:

• Personal Data;

• High Risk Personal Data;

• Special Category and Criminal Offence Data.

 

Your data is stored in a range of systems and formats. These include in your recruitment file, in the organisation’s HR management system and in other IT systems, including the organisation’s email system.

 

Personal Data Provided by Yourself

The Club processes a range of information collected from you. This may include:

 

Personal Data

• Your name, address and contact details, including email address and telephone number;

• Your gender and date of birth;

• Details of your qualifications, skills, experience and employment history, including start and end dates with previous employers;

• Information about your nationality and entitlement to work in the UK;

• Candidate photograph’s, if applicable.

 

High Risk Personal Data

• Information about your current level remuneration and expenses, including entitlement to benefits such as pensions or insurance cover;

• Passport and driving licence information.

 

Special Category and Criminal Offence Data

• Information about medical or health conditions, including whether or not you have a disability for which the organisation needs to make reasonable adjustments;

• Where permitted by law, information related to health, ethnic origin, sexual orientation or social background;

• Where permitted by law, information about your criminal record, if applicable.

 

The Club may collect your Personal Data in a number of ways. For example, identity information might be collected through application forms, CV’s or resumes; obtained from your passport or other documents such as your driving licence; from forms completed by you at the start of or during your employment; from the correspondence with you; or through interviews or other forms of assessments (including online tests).

 

Personal Data Provided By Third Parties

The Club may reference information which is in the public domain as part of our selection process. For example, we may review your social media profiles such as Twitter, Facebook and LinkedIn.

 

The organisation may collect Personal Data about you from third parties. This may include information from employment background check providers, information from credit reference agencies and from references supplied by former employers. The Club will seek information from third parties only when a job offer has been made and we will inform you that we are doing so.

 

Criminal Offence Data

Where permitted by law, we may obtain information from criminal record checks.

 

Retention Period

The Club will dispose of the majority of your Personal Data after a period of 3 months, if your application is unsuccessful. The Club will however, retain limited Personal Data for the purposes of validating the outcome of your application for employment.

 

If your application for employment is successful, Personal Data gathered during the recruitment process will be transferred to your personnel file and retained for the duration of your employment. Details of the period for which your Personal Data will be retained will be provided to you in a new policy and employee privacy notice.

 

Why Does the Organisation Process Personal Data

The Club needs to process your Personal Data to take steps, at your request, prior to entering into an employment contract with you. In order to comply with Data Protection Laws, The Club needs a lawful basis to process your Personal Data. We use the following lawful reasons to obtain and use your Personal Data.

 

Consent

If your application is unsuccessful, The Club may keep your personal data on file in case there are future employment opportunities for which you may be suited. We will ask for your consent before keeping your data for this purpose and you are free to withdraw your consent at any time.

 

Contract

If your application is successful, we will need to process your data in order to enter into an employment contract with you.

 

Legal Obligation

In some cases, we need to process your Personal Data to ensure that we comply with our legal obligations. The Club, may process information about whether or not applicants are disabled to make reasonable adjustments for candidates who have a disability. This is to carry out our obligations and exercise specific rights in relation to employment.

 

Legitimate Interest

In other cases, The Club has a legitimate interest in processing your Personal Data and retaining records before, during and after the selection process. Processing Personal Data from job applicants allows the organisation to manage the recruitment process, assess and confirm a candidate's suitability for employment and to decide to whom to offer a job.

 

Where The Club obtains and processes Special Category Personal Data, such as information about ethnic origin, sexual orientation, health or religion, this is done for equal opportunities monitoring purposes.

 

For some roles, the organisation is obliged to seek information about criminal convictions and offences. Where we seek this information, it is because it is necessary for us to carry out our obligations and exercise specific rights in relation to employment.

 

Who May Have Access to Personal Data

Your Personal Data may be shared internally, including with members of HR and the recruitment team, interviewers involved in the recruitment process, managers in the business area with the vacancy and IT staff if access to the data is necessary for the performance of their roles

 

The Club will not share your data with third parties, unless your application is successful and we make you an offer of employment. The organisation will then share your personal data with third parties in order to, obtain pre-employment references from other employers, obtain employment background checks from third party providers and to obtain necessary criminal record checks from the Disclosure and Barring Service.

 

Processors

The Club may share your Personal Data with third-party processors who provide services to the organisation. Classes of Processors include:

• Employment Reference Checking Agencies;

 

Joint Controllers

The organisation does not share Personal Data of applicants with any Joint Controllers.

 

Separate Controllers

The Club may share your Personal Data with organisations where we have a legal obligation, contract or other legitimate interest to do so, including:

• Employment & Staffing Agencies;

• The Disclosure and Barring Service.

 

Third Countries

The Club will not transfer the Personal Data of applicants outside of the European Economic Area (EEA).

 

What If You Do Not Supply Your Personal Data

You are under no statutory or contractual obligation to provide data to The Club during the recruitment process. However, if you do not provide the information, we may be unable to process your application properly or at all.

 

Automated Decision Making

No recruitment related decisions are made solely using automated decision making technologies.
